HR Administrative Assistant 

Location: Eugene, Oregon

General Description:

This is a full-time position primarily stationed at Mountain Rose Herbs’ (MRH) 4020 Stewart Rd. facility. Along with duties specific to the Human Resources Department, this position also serves as a front desk receptionist, support staff member to directors, and point of contact for all visitors and employees. This position will represent the face of MRH and requires an individual who is outgoing, friendly, efficient, organized, and one who maintains professionalism when interacting with visitors and staff.

The starting wage for this position is $21.00/hr. 

  • Minimum knowledge, skills, and abilities required:        

      • Ability to perform quick and accurate work with a strong attention to detail.
      • Ability to juggle multiple timelines/tasks and prioritize them effectively.
      • Must possess strong verbal and written communication skills, with an understanding of professional etiquette.
      • Must maintain a high level of confidentiality, discretion, and tact at all times.
      • Ability to follow instructions and work well with others in a team orientated environment.
      • Ability to demonstrate excellent organizational and time management skills.
      • Ability to multitask and problem solve effectively with minimal supervision.
      • Knowledge of office management systems and procedures including accurate data entry.
      • Proficiency in MS Office (Word, Excel, and Outlook, in particular).
      • Must possess a valid Oregon Driver’s License and be able to operate company vehicles (passenger cars).
      • Ability to "shift gears" at a moment's notice with a professional demeanor.

    Essential Job Functions:

    1. Dependability: consistently at work and on time, follow instructions, respond to management direction, show great follow through, and solicit feedback for improved performance.
    2. Thoroughly understand, follow, and enforce all MRH policies and procedures along with applicable laws and guidelines for employee privacy, confidentiality, etc.
    3. Greet all visitors to the 4020 facility and follow proper protocols for the specific purpose of the visit.
    4. Act as employee relations liaison for all employees within the organization. This position requires knowledge of MRH policies, products, and procedures to answer questions with confidence and accuracy.
    5. Maintain a clean and organized Mezzanine environment.
    6. Coordinate, schedule, and set up the meeting room(s) for upcoming meetings.
    7. Complete weekly orders and re-stock materials in most company breakrooms and the office supply room.
    8. Work closely with the HR Director, Safety Department, and Sustainability Department to implement employee health and wellness initiatives, events, and other tasks as assigned.
    9. Implement and manage various ongoing projects including employee perks and gifts.
    10. Manage company announcements on SharePoint, Microsoft Teams, corkboards, and the TV “carousel.”
    11. As a member of the HR Department, perform various administrative support tasks with the proper training and instruction.
    12. Work closely with the CEO/CFO and all MRH Directors as needed, offering administrative support on specific assignments.
    13. Create, file and retain documents as needed.
    14. Sort and coordinate distribution of paychecks for all departments and locations throughout the company.
    15. Support the recruitment and hiring process, including but not limited to scheduling, interviewing, performing reference checks, onboarding, leading company tours, and coordinating trainings.
    16. Operate MRH company vehicles to travel to other MRH buildings and run additional company errands as requested.
    17. Assist in ensuring excellent organizational communication with staff and between departments to foster a positive company culture.
    18. Willingness to learn and perform new procedures, equipment, and technologies.
    19. Be an active reporter/monitor as part of the RUBY Team.
    20. Other duties as assigned.

    Physical requirements may include but are not limited to:          

    • Must be able to sit and/or stand for periods of time while either on the phone and/or performing data entry duties (typing, using a mouse, etc.) as well as travel between MRH facilities/sites.
    • Minimal physical requirements to include associated standing, bending, stooping, to retrieve files.
    • Exposure to herb dust and strong aromatics.
    • Must be able to lift up to 15 pounds consistently.
    • Must be able to push a loaded cart.
