Receptionist/ Administrative Assistant

General Description:

This is a full-time position primarily to serve as a ‘front desk’ receptionist and point of contact for outside vendors and visitors at the 4020 Stewart Mezzanine. This position will also assist with various tasks for the directors and executives. This position will represent the face of Mountain Rose Herbs for visitors and requires an individual who is outgoing and friendly, efficient, organized, with business skills, as well as customer service skills/presence when interacting with both staff and visitors.

The starting wage for this position is $16.00/hr. 

Minimum knowledge, skills, and abilities required:        

  • Must have the ability to perform quick and accurate work with a strong attention to detail.
  • Must maintain a high level of confidentiality, discretion, and tact at all times.
  • Must be capable of juggling multiple timelines/tasks and prioritize them effectively.
  • Must be able to communicate effectively both verbally and in writing (to include email communication), with a very strong sense of professionalism.
  • Must have the ability to follow instructions and work well with others in a team orientated environment.
  • Able to multitask and problem solve effectively with minimal supervision.
  • A familiarity with basic office computer skills to include accurate data entry. –Knowledge of MS Office and other basic programs specific to MRH mission.
  • Possess a valid Oregon Driver’s License and be able to operate company vehicles (passenger cars).
  • Position requires the ability to "shift gears" at a moment's notice with a professional demeanor and attitude.

Essential Job Functions:

  1. Dependability: is consistently at work and on time, follows instructions, responds to management direction, has great follow through, and solicits feedback for improved performance.
  2. Following all MRH procedures and protocols.
  3. Greet all vendors and visitors who enter the Headquarters building via the Mezzanine and follow proper protocols for the Mezzanine including having them sign in and out as required.
  4. Maintain a clean and organized Mezzanine environment as well as set up the meeting room for upcoming meetings
  5. Organize and coordinate travel/accommodations for MRH staff following approval protocols.
  6. Answer phones and take messages, transfer calls.
  7. Respond to/route emails.
  8. Complete weekly orders and re-stocking of materials in the 4020 break room.
  9. Create/maintain necessary documents to include physical and electronic record keeping.
  10. Perform data entry and document creation/update tasks.
  11. Manage inventory of office supplies and place orders as needed.
  12. Perform other clerical tasks as needed.
  13. Interact and communicate with various MRH departments about incoming visitors, vendors and potentially calls and emails.
  14. Demonstrate proficiency in Windows/MS Suite to include Word and Excel as well as other computer programs.    
  15. Organizational and time management skills.
  16. Willingness to learn and perform new procedures, equipment, and technologies.
  17. Be an active reporter/monitor as part of the RUBY Team.
  18. Other duties as assigned.

Physical requirements may include but are not limited to:          

  • Must be able to sit and/or stand for periods of time while either on the phone and/or performing data entry duties (typing, using a mouse, etc) as well as travel between MRH facilities/sites.
  • Minimal physical requirements to include associated standing, bending, stooping, to retrieve files.
  • Exposure to herb dust and strong aromatics.
